J.T.S. TIME SHEETS INSTRUCTIONS
Welcome to J.T.S Time Sheets. This program is designed for any
business which bills clients based on the time which its
employees spend on the clients accounts. Each employees time
can be billed at a different rate. The program also keeps track
of the total work in hand for accounting purposes.
So that you can quickly assess the program's suitability for
your business, the shareware version is supplied pre loaded
with the clients of an accounting firm which uses the system.
Only the clients addresses have been removed.
The best way for you to learn the system is for you to practice
with the clients already entered. If you like the system you
can then purchase a registered version which will be supplied
"Empty" ready for you to start.
J.T.S Time Sheets is largely self explanatory. However, there
are a couple of things you should know before you start.
Firstly, The shareware version is supplied with the date format
set to European (Day/Month/Year). North American users should
reset this. You change the date format in the Date Format and
options item of the Utilities Menu.
You should also select the appropriate printer driver and set
the paper size you will be using - again from the Utilities
menu.
Throughout the system, clients are selected or referred to by
their file number. The business whose data is supplied used the
convention of a letter and number ( A12 , B28 , F14c Etc.)
There is no reason why you should adopt this. The clients file
numbers can be any four digit combination.
Also throughout the system, the "*" is used as a wildcard to
make selections. For instance, to make a time sheet entry, you
can either type the clients file number, say B11, or you can
type an * and press return. If you do the latter then all the
file numbers will be listed for you to choose from. If you type
B* and press return then only the file numbers which begin with
B will be listed. The same system is used for selecting
employees and work types. The wildcard can be placed at any
point to reduce the selection list - If you have employees
called Sam, Sally, Sidney and Stewart then S* will list all
four for you to choose from. Sa* will list only Sam and Sally
and Sal* will select Sally without a choice.
Each Employee has a charge out rate per hour. You enter this
when you add an employee (Setup Menu) but you can also alter an
employees charge out rate at any time using the same routine -
you simply select the employee using the * and supply the new
charge out rate.

When you select "Make Timesheet Entries" there are three
options. The first option is to make entries by time and
employee. These entries are billed at the employees charge out
rate multiplied by the entered time. The second option allows
you to enter items which have a fixed charge and the third
allows you to enter any interim payments made by the client.
If you make a mistake then you can correct entries at item
three on the main menu. To correct an entry you need to know
its line number in the data file. The line numbers of all
entries are listed in the reports "List Todays Entries" and
also in "Clients Time Sheet" on the Summaries Menu.
"Clients time Sheet" prints a clients billing to date at any
time. When you have invoiced a Client you clear his Time Sheet
with Item 5 on the main menu "Clear Sheet After Invoicing".
The second option "Pack and renumber records" on this menu
reclaims the diskspace used by the records you delete when
clearing a timesheet. Packing the data file is time consuming
so it is not done automatically each time you clear a Time
sheet. You should however run this routine whenever you have
cleared a few clients time sheets.
The other items on the "Summaries" menu list the businesses
Work in hand, Total only, By Client and Full Audit. There are
also items which list Employees hours and print Client file
lists.
If you suffer a power failure while using J.T.S. Time Sheets
you will not lose any data other than possibly the last entry
you were making. A power failure can however cause corruption
in the indexing system. If you do suffer a power failure then
run the routine "Reset after Power Failure" from the utilities
menu. This Self Maintenance routine will re write all the
indices and re calculate Clients Account balances.
Finally - HARD DISKS ARE FALLIBLE - J.T.S. Time Sheets includes
its own Backup and Restore System. You should backup your data
on a regular basis preferably two copies in case you have a
faulty floppy. The inbuilt backup system is preferable to a
third party or DOS backup system. It saves lots of disk space
as only your data files are saved (not program or index files).
If you ever have to use a backup then J.T.S Time Sheets will
restore your data and then rebuild the index files
automatically.
